The Customer Service and Benefits Specialist

Duties:

  • Greets clients, visitors, and guests.
  • Monitors desk and complies with all security procedures.
  • Performs administrative and clerical support tasks if needed.
  • Performs basic filing and record keeping.
  • Performs other duties as needed.

JOB PURPOSE/SUMMARY

  • Direct knowledge of the electronic medical records (Centricity) will be required. 
  • Excellent verbal and written communication, presentation and interpersonal skills.  
  • Exemplary organization skills and the ability to multi-task and prioritize work.  
  • Knowledge of client needs, clinical workflow, and financial standards are must. 
  • Maintaining insurance eligibility information, working with all departments of the organization is required.  
  • Maintain all office duties related to Blount County Clinical Services. 
  • Assist program supervisors with administrative responsibilities and daily programmatic tasks. 
  • Assists with management of all Just In Time scheduling components.

This position is located in the Blount County Clinic office.

JOB DUTIES/RESPONSIBILITIES

1. Admissions Data Entry

a. Ensures that each client is eligible for the services they are receiving prior to time of service. 

b. Checks daily intake sheets for missing insurance cards and notifies staff with flag in Centricity.

c. Work with HIM staff to insure proper training on release of information policies and work with Compliance Officer on HRMC P&P.

d. Sets up Medical record number for client including the immediate number as well as complete data entry of demographic information without duplication of data.

e. Receives cash payments from clients, staff and other programs ? writes receipt.

f. Turns in cash and copy of receipt to the appropriate Supervisor within 2 business days.

g. Working knowledge of the scheduler for checking in and out clients.

2. Patient Eligibility

a. Checks online with state website to ensure they are covered if providing state or government insurance prior to time of service.

b. Sets up each intake in Centricity and makes a file folder with intake packet.

c. Orient each person at intake to the intake process, discuss consent for treatment, confidentiality, take clients photo, review client handbook.

d. Keeps clients medical record up to date with demographic information when changes are needed.

  3. Administrative Duties and Expectations

a. Responds to emails and voicemails within 1 business day.

b. Willingly assists in daily work duties when Program Assistant is absent.

c. Submits timesheet and other paperwork by due date determined by Supervisor.

d. Keeps productivity to at least 95% accurate without errors.

e. Keeps prescribers schedule up to date.

f. Attends scheduled meetings without tardiness.

Schedule:

  • Required work schedule is Monday through Friday, 8AM-5PM with 1-hour break.
  • If ever irregular work schedule arises; supervisor will notify staff ASAP.

Equipment/Technology:

  • Position will utilize standard applications such as Microsoft Word and Excel on desktop computer. Client Benefit Specialist will be trained in data and record keeping in electronic medical record                                                                                                                                                                                                                                                             QUALIFICATIONS - Customer Service and Benefits Specialist

Experience / Knowledge:

  • Must have at least two (2) years of experience in a Healthcare office environment.
  • Must have experience working with computers and technology.
  • Highly organized and able to multitask while working in fast paced environment while prioritizing tasks.
  • Excellent customer service skills.
  • Excellent time management and communication skills, both written and verbal.
  • Knowledge of client needs and clinical workflow according to client benefits position.
  • Maintaining most recent insurance eligibility information.
  • Willingness to learn and implement policy and procedures.
  • Able to work well within a team and independently.

Education / License:

  • High School Diploma or equivalent.

Physical/Emotional/Social - Skills/Abilities:

  • Position requires yearly Handle with Care (HWC) training provided by McNabb.
  • Lifting up to 50 lbs. and ability to remove and place items from all levels of shelving.
  • Normal/corrected eyesight.
  • Ability to stand and sit for extended periods of time throughout the day.
  • Hearing within normal range.
