The Follow-up Team Leader
Duties:
- Supervise Follow-Up Reimbursement Specialists. Keep up with monthly Aging numbers.
JOB PURPOSE/SUMMARY
Summary of role of team:
- The financial health and success of any practice or healthcare service provider is dependent on maintaining positive cash flow.
- In order to provide patient care and cover expenses, it's important that payments are not delayed, lost, or denied.
Summary of position:
- Follow-Up Team Leader will oversee the Reimbursement Specialists and make sure that their tasks are completed monthly to ensure that the revenue cycle is maximized to its full potential.
TYPICAL WORKING CONDITIONS/ENVIRONMENT
- This is an in-office position only.
1. Understanding of Payer contacts, fees, and service codes
- Maintain working knowledge of all CPT codes and services codes related to each payer and the clinical programs.
- Maintain a thorough understanding of HRMC's corporate policy on billing.
- Maintain a thorough understanding of the state, federal, and payer guidelines on billing, collections, refunds, and overpayments.
2. Insurance Verification
- Knowledge of insurance verification process.
- Work closely with insurance verification team and other departments for assistance in maintaining proper workflows.
3. Other Duties as Assigned
- Train staff on various tasks in the department as needed.
- Hold weekly or bi-weekly supervisions to ensure staff is on track.
- Review performance of supervised staff and give feedback when needed.
- Handle performance issues in a timely manner.
- Maintain Policy & Procedures as well as workflow manuals for the department.
- Complete billing errors and FIE's as directed.
- Handle overpayments from insurances and/or patients.
- Review and process internal and external recoupment request.
4. NHSC Program
- Process applications as they are received from outside departments.
- Determine if client meets eligibility requirements.
- Notify the patient and the designated client benefits contact.
- Remain in contact with the facility regarding outstanding balances and the re-application process if applicable.
- Remain in contact with the patient on a monthly basis regarding outstanding balances.
- Update the Federal Poverty Guidelines spreadsheet using the US Department of Health and Human Services Poverty Tools Website.
- Create and update application and forms as needed.
- Submit Site Data Tables for each facility annually to Human Resources.
- Review the NHSC Program information updates yearly.
- Miscellaneous Duties
- Fill in for Manager of Client Billing Services when absent.
- Provide assistance to Reimbursement Specialists when needed.
- Handle patient calls/requests in courteous and timely manner.
- Work with outside companies such as insurance companies and temp agencies.
- Complete special projects as requested by various departments for financial assessment of programs.

COMPENSATION:
- Starting salary for this position is approximately $21.36 /hr based on relevant experience and education.
Schedule:
- Typical office hours of 8:00a - 5:00p are expected but some light exceptions can be made.
- Can require long workdays/overtime around monthly and year-end closing.
Equipment/Technical Competency:
- Requires use of a computer and multiple monitors.
- Must know Microsoft software.
- Knowledge of printers, scanners, and faxing is also required.
- Must be able to access and use internet websites.
QUALIFICATIONS - Follow-up Team Leader
Experience / Knowledge:
- Minimum 3 years behavioral/mental health billing and follow-up.
- Knowledge of insurance, benefits, and knowing how to read EOBs.
- Knowledge of CPT/HCPCS coding guidelines.
- Minimum 2 years in a supervisory position.
Education / License:
- Minimum 3 years behavioral/mental health billing and follow-up.
- Knowledge of insurance and benefits and knowing how to read EOBs.
- Knowledge of CPT/HCPCS coding guidelines.
- Minimum 2 years in a supervisory position.
Physical/Emotional/Social - Skills/Abilities:
- Position requires a lot of sitting.
- May be stressful and demanding depending on workload and time of year.
- Must be able to multi-task.
- Must have strong communicate skills.
- Need to be ok with the feeling of not finishing tasks as this job is ongoing and has a constant rotation of claims/insurance issues.
