The Knox C&Y Clinic Team Leader
Duties:
- Oversight of two outpatient mental health clinics, coordination of all provider schedules, and ensuring adequate access to appointment for clients and families.
- Direct supervision of Children's BSHN programming for all Center served counties.
Job Summary:
- Provides daily oversight, response, and supervision to the C&Y outpatient clinic.
- Job includes but is not limited to, managing a team that handles all phone calls directed to C&Y IST clinic including providing messages/notes to nurses for calls related to medication questions, answering questions of next scheduled medication/intake appointments, and other related phone calls.
- Maintain schedule(s) for all C&Y IST staff psychiatrists/APNs and intake appointments in order to ensure productivity standards are met.
- Assist staff to meet set productivity standards within compliance of HRMC policy and procedures.
- Coordinate schedules and services to provide direct oversight of all daily logistics that effectively manage an outpatient clinic.
- Coordinates with centralized scheduling team to ensure schedules are full and appointments in the correct slot. Outpatient clinics include both Knox C&Y and Merchants Campus Clinic (one day weekly).
- Assist Outpatient TL with scheduling and maintaining ETCH intakes and reports.
- This position will report all clinic productivity to Services Coordinator monthly.
- Assist clinic therapist with daily intakes as needed.

TYPICAL WORKING CONDITIONS/ENVIRONMENT
- This position will work within an outpatient clinic office, but may require community based visits for Children's BSHN or coordination with other Center outpatient clinics.
- Position works within a multi-disciplinary team, and should be flexible to maintain a team-based atmosphere.
JOB DUTIES/RESPONSIBILITIES
Service Delivery
1. Maintain schedule for all C&Y IST staff psychiatrists and APNs.
- Input/print out necessary information in Centricity for scheduling purposes on a daily basis.
- Maintain cancellation list for filling in appointment purposes and update daily.
- Discusses with the staff psychiatrists any time there is a change made to the schedule throughout the day.
- Will be in the reception area to provide coverage for the first appointment of the day and stay until the last appointment has left the area and manage front office staff schedules to ensure coverage.
- Makes changes in schedule and productivity standards as directed by supervisor in a timely manner.
- Works in a multi-disciplinary team and oversees clinical standards of the program.
2. Manage all phone calls and messages for clinic, nurses, and staff psychiatrists.
- Answer all phone calls from 8AM to 5PM (or as assigned) Monday- Friday, for those not filtered through Centralized Scheduling.
- Coordinate schedules to ensure front office staffing for extended clinic days (8am-7pm).
- Correctly scribe and direct all messages to the necessary staff.
- Triage priority of all calls throughout the day.
- Provide coverage as need or ensure a coverage plan is developed.
- Actively communicate and coordinate with Centralized Scheduling staff to ensure clinic needs are met.
3. Oversee Children's Behavioral Health Safety Net (BHSN) programming for the Center.
- Directly supervise two children's BHSN bachelor's lever staff (Outreach Coordinator & Pharmacy Assistant)
- Assist with the Center eligibility process, quarterly/annual monitoring of contract requirements, and ensure targets are met.
- Communicate with all HRMC outpatient clinics on eligibility requirements and programmatic changes and needs.
- d. Oversee a children's BHSN case management caseload so that referrals are received and covered by supervisees.
- Assist with coverage, when needed.
4. Maintain a daily presence in the clinic to triage prescriber needs, scheduling difficulties, and TennCare and Commercial revenue percentages to ensure monthly revenue targets are met.
5. Clinician will provide intake or therapy coverage, as directed by supervisor.
- If licensed, signing the non-licensed clinicians' treatment plans and being available for clinical consult.
Administrative
- Supervise one administrative assistant and coordinate schedules to provide clinic coverage and oversight of daily clinic workflow.
- Ensure that clinic productivity revenue goals are met by managing prescriber schedules and appointments.
- Submits clinic prescriber productivity report by the 5th of each month.
- Submits QRR reviews for outpatient clinic quarterly.
- Works with Clinic TL to schedule and support process for completing ETCH partnership intakes and reports.
- Assists with internal and external audit reviews
- Completes performance evaluations for each supervised staff annually.
- Takes a lead role in hiring and retaining staff-maintains appropriate level of staffing.
- Fills staff vacancies with qualified staff within 30 days of pervious employee's termination.
- Trains staff regarding program P&P and daily responsibilities within one week of completing orientation.
- Complete required statistics and other monthly/annual reports (QAQI) as requested.

COMPENSATION:
- Starting salary for this position is approximately $54,111 /yr based on relevant experience and education.
Schedule:
- This position works 8-5pm Monday-Friday, but may require coming in earlier or staying later based on prescriber work schedules.
Travel:
- This position requires utilizing a personal dependable vehicle to conduct Center business.
- Maintaining a dependable vehicle and certified driver status is a condition of employment.
Equipment/Technology:
- This position requires the use of computer skills with an electronic medical record (EMR), and telehealth/televideo services may be offered as part of the service delivery.
- Skills in Microsoft Excel and Word are required, as well as electronic scheduling capability.
QUALIFICATIONS - Knox C&Y Clinic Team Leader
Experience:
- Previous experience working face to face with individuals in an office/clinic setting preferred.
- One-year experience in the social work field or a behavioral health setting preferred.
- One-year experience in a supervisory capacity preferred, but not required.
Education:
- Master's degree in Social Work, Mental Health Counseling or related field with coursework or experience in the areas of cultural diversity, human development, etiology and treatment of mental illness, alcohol and drug abuse, and physical and sexual abuse.
- Demonstrated knowledge and competency in mental health service provision and leadership.
- Preferably, a degree that is licensed eligible.
Physical:
- This position requires training and certification in and the ability to adequately implement a variety of verbal de-escalation methods and personal/client safety techniques.
- Must be able to hear loud and soft tones.
- Must have mental ability to exercise sound judgment under pressure.
- Must be able to lift up to 50 lbs.
- Ability to present professionally and work within a team format to plan, implement, and evaluate successful interventions to ensure clinic workflow.
- Ability to exercise sound judgment and effective decision-making, ability to set and demonstrate appropriate boundaries, ability to be an empathic listener, flexibility, willingness, and adaptability to working with diverse populations.
- Must also have the ability to communicate effectively and possess good time management and organizational skills.
- An essential job function is a reliable, predictable 40 hour per week job, on site and in the community (as needed), with regular attendance.
