The Foundation Events Specialist

Summary:

  • The Foundation Event Specialist is responsible for supporting event logistics, sponsor benefits fulfillment, and volunteer management for the Foundation's events.
  • This role requires strong organizational skills, attention to detail, and the ability to manage multiple moving parts in event execution.

Foundation Event Operations Support (60% of time)

  • Foundation Event Sponsorship Benefits Fulfillment
    • Maintaining accurate files of event sponsor logos by sponsorship level and event, reaching out to companies to acquire logos as needed, organizing and keeping the file folder tidy
    • Ensure all sponsor logos are placed accurately by level on all event signage and materials
    • Ensure that sponsor logos are placed on event webpage on Foundation website on ongoing basis with support of Marketing Specialist
  • Foundation Event Communications Calendar and Marketing Liaison
    • Upon receiving a marketing/design needs plan from Assistant Directors/Coordinator per event, organize a unified calendar of requests to be given to Marketing Specialist to execute
    • Submit requests for print and digital graphic design needs for events to Marketing Specialist in advance of deadlines, keep files organized in event folders
  • Event Print Management
    • Obtain quotes from printing companies for print pieces needed for each event to be approved by Assistant Directors/Coordinator
    • Request graphic design files from Marketing Specialist for print pieces needed for events
    • Place print orders, ensuring they are in-hand well in advance of event day
  • Supplies and Inventorying
    • Coordinates periodic team cleaning of event closets
    • Using event-specific packing list provided by Assistant Directors/Coordinator, ensure enough supplies are on-hand prior to each event and are designated per event, organize and pack event supplies for each event day, and ensure they are loaded and brought to each event (Assistant Directors/Coordinator to manage loading process with team)
    • Manage ordering of supplies needed for each event within approved budget from Assistant Directors/Coordinator, record expenses in event budgets
  • Day-Of Event Support
    • Reserve rental vehicles needed for each event and coordinate the pickup and drop off of vehicles surrounding event days
    • Manage and complete any event pickups/drop-offs as needed prior to and after the event.

Foundation Event Volunteers (40% of time)

  • Work with Assistant Directors/Coordinator on exact volunteer needs and shifts for each event
  • Post event signup pages on SignUp Genius platform and request support from Marketing Specialist to link to Foundation website
  • Send emails to past volunteers to encourage signups for each event
  • Make special recruiting efforts for volunteers as needed (phone calls, reaching out to businesses with volunteering programs)
  • Manage all volunteer communications for events
  • Serve as Volunteer Manager on-site at all Foundation events (volunteer check in, point person for questions from volunteers, giving directions for tasks to complete, overseeing volunteers throughout event)
  • Report on numbers of volunteers per event and in total per calendar year, in addition to total number of hours worked by all volunteers at Foundation events yearly
  • This position is a full-time, in-person, hourly position with occasional nights and weekends. This position is based at 200 Tech Center Drive, Knoxville, TN and requires occasional travel to the Center's outlying counties including Hamilton County.

COMPENSATION:

  • Starting salary for this position is approximately $21.21 /hr based on relevant experience and education.

Schedule:

  • This position is a full-time Monday - Friday 8am - 5pm, in-person, hourly position with occasional nights and weekends.
  • This position is based at 200 Tech Center Drive, Knoxville, TN and requires occasional travel to the Center's outlying counties including Hamilton County.

Travel:

  • Must possess a valid Tennessee Driver's License and proof of insurance.
  • Reserve rental vehicles needed for each event and coordinate the pickup and drop off of vehicles surrounding event days.
  • Manage and complete any event pickups/drop-offs as needed prior to and after the event.

QUALIFICATIONS - Foundation Events Specialist

Experience:

  • 1-2 years in event management, project management, volunteer coordination, or similar role preferred.

Education:

  • Bachelor's degree or equivalent years of experience preferred.

Physical:

  • Ability to drive 15-foot box truck and lift up to 40 pounds.
  • Age 21 and older.
