The HR Services Coordinator over Talent Acquisition Specialist

JOB SUMMARY

  • Manages the full recruitment cycle, from job posting to offer acceptance.
  • Ensures adequate talent pools for open positions including temps, contractors, and interns.
  • Collaborates with hiring managers to define job requirements and candidate profiles.

General Administrative Duties

  • Responds to emails and calls within 24 hours
  • Ensure compliance with all legal requirements and company policies
  • Holds bi-monthly supervision with staff members as evidenced by supervision notes in the staff's personnel Dynafile.
  • Has zero turnover in recruiting department and zero vacancies (fill role by 9/30/24) using engagement and motivation strategies, building an awesome, fun, trusting team!
  • Brings innovation and ideas to supervision and team meetings as evidenced by supervision notes.
  • Participate in weekly recruitment and student meeting to solve problems, engage staff members, and hear creative ideas.
  • Recruiting department is responsible for hiring all new positions in FY25 by September 30th per MBK (spreadsheet maintained by Talent Acquisition Specialist).
  • Learns how to use Canva to make beautiful flyers, social media posts, etc as evidenced by shared Canva file contributions.
  • Maintains spreadsheets on all personnel contacts (contact log) and hire status.

Leadership, Strategy, and Supervision

  • Models exemplary leadership through excellent presentation, consistent presence, support, management, solution implementation, and kindness as evidence by no staff concerns to VP of HR.
  • Develop and implement recruitment strategies to meet the organization's staffing needs as evidenced by a quarterly recruitment plan.
  • Manages e3 recruitment landing page to be creative and exciting and updates the videos and photos quarterly working closely with Community Relations.
  • Manages applicant tracking pages to ensure compliance and source candidates.
  • Participate in e3 monthly meetings to get recruiting needs met.
  • Helps VP create monthly reporting data for CEO (add FY turnover to report, etc).
  • Make recommendations utilizing data up the chain about budget needs and recruiting strategies. Pilot promising strategies.
  • Manages recruiting budget.
  • Manages vacancy report to be sent to CEO, SVP and VP every Friday.
  • Check in with new hires in orientation, especially the ones you and team recruited.
  • Quarterly-Train supervisors on applicant tracking system, tips and tricks, and non-bias screening (employment law), interviewing (via GoTo Meeting).
  • Holds subordinates accountable to measurable objectives.
  • Learns, uses, and trains HR on the effective use of Docusign and its linkage with Dynafile.
  • Recommend policy improvements to align with the legal landscape regarding applicants, AI, non-bias screening, student policy.
  • Help supervisors develop job descriptions and a realistic job preview for applicants.
  • Attains SHRM-SCP by 12/31/2025.

Non-Traditional Personnel

  • Recruits agency temps when needed including but not limited to Masters, RNs and LPNs as evidenced by low vacancy rate (15% in FY25, ultimate goal is 10%).
  • Responsible for assigned contract negotiations, annual updates and distribution to contractors through Docusign as evidenced by contract complete by June 30th of every year.
  • Negotiates the best value for agency nurses and clinicians contract agencies as evidenced by proven cost savings.
  • Finds the best agency firms and weeds out the ones who are ineffective as evidenced by lists or spreadsheets with up-to-date detailed information on contracts.
  • Communicates and educates supervisors (via email) on contract stipulations for compliance as evidenced by the training email with each new or revised contract.
  • Assures all non-utilized agency, contract, and temp staff are removed from e3 weekly as evidenced by "ended boxes".

Student Interns

  • Maintains I drive spreadsheets on all students, their placements, dates, and their hire status.
  • Keeps data on student ratio to hire (i.e. 120 students placed and 30 become employees-that is 25% conversion).
  • Ensure job ads are accurate-no errors on salaries-as evidenced by 0 errors.
  • Conducts informal interviews and participate in the matching process as evidenced by contact log.
  • Create and implement a student breakfast or luncheon quarterly to get feedback and help them find employment here as evidenced by event log - invite leaders for speakers' panel.
  • Recruiting department is responsible for converting College of Social Work Students into Staff each calendar year as part of the recruitment plan.
  • Each graduating class no less than 10% of the cohort will come to the Center as employees. (Student conversion counts toward this goal).
  • Recruiting department to coordinate 3 visits per semester to Knoxville and Chattanooga College of Social Work (total of 3 for teaching student about the McNabb Center and what we offer to employees and clients. (Masters in-person, Masters on-line, and Bachelors in both colleges)
  • Develop excellent relationships with all colleges in area and give seminars to recruit students as evidenced by 3 events, trainings, or seminars per month (this does NOT include the College of Social Work).
  • Develops supervisors to take student placements, creates or receives the student job description as evidenced by a 10% increase year over year in student placements (can hold GoTo meetings for interested supervisors) PRIORITIZE College of Social Work.
  • Manages all non-traditional personnel Dynafile and ensures funder compliance as evidenced by zero audit findings.

COMPENSATION:

  • Starting salary for this position is approximately $71,056 /yr based on relevant experience and education.


    Schedule:
  • Monday - Friday 8am - 5pm (in-person only)


Equipment/Technology:

  • Basic computer skills are required for email, timekeeping, and documentation in the electronic medical record.

QUALIFICATIONS - HR Services Coordinator over Talent Acquisition Specialist

Education:

  • Must have Master's degree in business, health administration, social work, human resources or related field; prefer master's degree in human resources.

Experience / Knowledge:

  • HR Certification Preferred.
  • Minimum of five years' experience in human resources related positions.
  • Training and recruiting experience preferred.

Physical:

  • Must be able to lift 25 lbs.
  • Proficient in reading.
  • Ability to communicate effectively.
  • Ability to type and write professional communications proficiently.
  • Long periods of sitting, standing.
  • Hauling equipment for tabling events and setting up is mandatory.
